Appointo has the most generous free plan of the apps compared here: unlimited services and unlimited bookings at no charge. CapFlow Booking is a narrower product built around sessions with shared capacity, and it takes no percentage of what you sell.

Appointo asks when the customer wants to come in. CapFlow Booking asks how many of this session's places are left, and which of them are already spoken for.

Appointo's own listing describes it as Calendly integrated into Shopify, and that is a fair and useful description. A booking there is a customer, a service and a slot. In CapFlow a booking is a claim on a place in a session that runs whether or not anybody books it: the Thursday 18:00 induction happens at 18:00 with a marshal on shift, and the only question is how many of the twelve places are gone and how many of those twelve belong to pass holders. If that second half is not a question you have, the case for CapFlow largely evaporates, and the section below on Appointo's free plan explains why.

Pick CapFlow Booking if

You sell places in a session rather than time with a person, you split those places between members and the public, and you sell passes or clip cards. You also want to know that the app takes no cut of your subscription or bundle revenue.

Pick Appointo if

You want a waitlist, custom intake questions, customer self-rescheduling or Google Calendar sync. Appointo has all four, its free plan allows unlimited bookings where CapFlow's caps at 50 a month, and it has 888 reviews and a Built for Shopify badge.

Where CapFlow Booking is genuinely stronger

The first three follow from treating a session as a count of places that can be divided rather than an appointment. The last two are about what the app costs and what it guarantees. Where a bullet says something is not described on Appointo's listing, that is exactly what it means: an absence from the listing, not proof of an absence in the product.

  • Several customers in one session on every plan, including the free one. Appointo lists Group Appointments on the $25 Premium plan and above.
  • A member pool inside the timeslot: reserve part of the capacity for pass holders, sell the rest publicly, and release the unclaimed member places before the session starts. Not described on the Appointo listing.
  • Passes and clip cards that decrement, read from Shopify customer tags. Appointo handles recurring booking subscriptions, which is a different mechanism, and its listing does not describe a clip-card equivalent.
  • An atomic hold on the last place during checkout, so it cannot be sold twice.
  • No cut of what you sell. $19 or $39 a month and nothing else. Every Appointo paid tier carries a 2 percent charge on subscriptions and bundles. If you sell memberships as Shopify subscriptions, that line grows every time you win a customer and the CapFlow one does not.

Two apps that agree on almost everything except the shape of a booking

Appointo and CapFlow Booking both put the customer through the native Shopify checkout. Both are theme-integrated. Both let a merchant sell time-based products without leaving Shopify. On the mechanics, there is very little daylight between them, and the $39 Appointo tier even adds a team member portal, which is a direction CapFlow has not gone in at all.

What differs is the shape of the thing being sold, and the practical test is simple: if you removed every customer from your calendar tomorrow, would anything still be scheduled to happen? For an appointment business the answer is no. For a session business the marshal is still on shift at 18:00 and the twelve places still exist. Everything on this page follows from that.

Appointo’s free plan is better, and you should know that

CapFlow’s free plan gives you one resource, one service and 50 bookings a month. Appointo’s gives you unlimited services and unlimited bookings, plus POS and admin-side rescheduling.

If you are a small venue with one room and modest volume, Appointo’s free tier is the better deal and it is not a close call.

The case for paying starts somewhere specific: when the same session is sold to two populations who have paid in different ways, and you need the software to keep them from crowding each other out.

Where the money goes

Appointo’s headline prices are low: $14, $25 and $39. On the entry tier Cowlendar is a penny cheaper at $13.99, so this is not a race Appointo wins outright. But every paid tier carries a 2 percent charge on subscriptions and bundles, and messaging is billed per message at $0.15 in the US and Canada, $0.30 elsewhere, and $0.30 for WhatsApp.

For a business that does not sell subscriptions and does not send texts, that is irrelevant and Appointo is simply cheap. For a studio with 400 members on a monthly subscription, 2 percent is a line item that grows every time you win a customer.

CapFlow is $19 or $39 and takes nothing else. It also has no SMS at all, which is the flip side of that: there is no per-message bill because there are no messages.

A worked case

A cookery school runs a Thursday evening pasta class on eight workstations, sold as a single seat each, and sells a six-class course pass to regulars.

With Appointo you would model the class as a group appointment on the $25 Premium plan. Eight people book the Thursday slot. That works, and the waitlist that comes with the same tier is genuinely useful, because a cookery class that sells out on Monday is exactly the case where somebody drops out on Wednesday and you want the next person called.

What you would not get is a way to say “three of these eight workstations belong to course-pass holders until Wednesday lunchtime”. So either pass holders compete with the public and sometimes lose the class they already paid for, or somebody holds seats back in a spreadsheet and remembers to release them, which is the job that gets forgotten in a busy week.

With CapFlow Booking the timeslot carries both numbers and the release runs on a schedule. But you lose the waitlist, so the Wednesday drop-out is a seat you have to fill by hand, and you lose the intake question that would have caught the shellfish allergy. There is no version of this comparison where one app simply wins.

What CapFlow Booking does not do

If any of these is a hard requirement for you, Appointo is the better buy today, and we would rather you knew that now than after you installed.

  • No waitlist. Appointo has one at $25/month, and for a venue whose popular sessions sell out this is the most likely reason to choose them.
  • No custom booking questions. Anything you need to ask at the point of booking has to be collected elsewhere.
  • No rescheduling at all, by the customer or by your staff. A booking cannot be moved to another time; it has to be cancelled and rebooked. Appointo has customer self-rescheduling on the $25 Premium plan and admin-side reschedule on its free plan.
  • No Google, Outlook or Apple Calendar sync.
  • No SMS or WhatsApp notifications at all. Email only.
  • No deposits or partial payments. The full amount is taken at checkout. Passes and clip cards are the nearest thing CapFlow has, and they only help where your regulars prepay.
  • No Shopify POS integration. Appointo includes POS on its free plan.
  • A less generous free plan: 50 bookings a month against Appointo's unlimited.

Common questions

Appointo's free plan allows unlimited bookings. Why would I pay for CapFlow?

If Appointo's free plan does what you need, use it. It is the most generous free tier of the apps on this page and we are not going to argue otherwise. The case for CapFlow starts when you need places in a session split between a member pool and a public pool, with the unclaimed member places releasing before the session starts. That is not something a free appointment plan does, and it is the whole reason CapFlow exists.

What is Appointo's 2 percent charge?

Every Appointo paid tier carries the line 'Usage charge for text/whatsapp and 2% charge for subscriptions/bundles'. So it applies to subscription and bundle revenue rather than to every booking. Whether it affects you depends on whether you sell those. If you do sell memberships as Shopify subscriptions, do the arithmetic: 2 percent of a healthy membership book is a larger number than the plan price. CapFlow takes no percentage of anything.

Appointo has group appointments. Is that the same as capacity?

Not quite. A group appointment puts several people into one slot. A CapFlow timeslot is a container with a total capacity, a member allocation and a public allocation, plus an atomic hold during checkout so the last place cannot be sold twice. If you just need several people in one slot, Appointo does that from $25 and it is cheaper than our equivalent. If you need the member and public split, that is the difference.

I need a waitlist. Can CapFlow do it?

No. There is no waitlist and no queue that promotes someone when a booking is cancelled. Appointo has one on the $25 Premium plan. If your sessions regularly sell out and you are currently keeping a list on paper, that is a real reason to pick them.

Do both apps use the normal Shopify checkout?

Yes, both do. Appointo integrates with the add to cart button and the customer continues through your standard Shopify checkout, exactly as with CapFlow. This is not a point of difference and you should ignore anyone who claims it is.

Which is better for a studio selling class passes?

It depends on what a pass means to you. If a pass is a recurring subscription that grants access, Appointo handles recurring booking subscriptions and will do the job, with 2 percent going to them. If a pass is a clip card that decrements, or an annual membership that entitles the holder to reserved places in each class, that is CapFlow's model and Appointo does not describe an equivalent.
